Privacy Policy
Effective and last updated: September 23, 2026
This policy explains how VacationRentalExpertz handles information in the Rental Community Tracker operations dashboard at admin.vacationrentalexpertz.com. It covers dashboard users, people whose rental and communication records are managed through the dashboard, and the optional bank reporting feature. It does not replace the policies of booking websites, banks, or other independent services.
Jamie Greene is the contact responsible for this dashboard and privacy requests. Contact jamie.greene736@gmail.com.
1. Information handled by the dashboard
- Account and security information: staff usernames, roles, authentication records, verification delivery details, and technical information used to operate and protect the service.
- Rental operations: guest and supplier contact details, reservation dates, property details, rental agreements and signatures, booking amounts, payment status, receipts, and related records provided by users or connected booking and property-management services.
- Communications: messages, emails, attachments, and call information made available through connected communication services.
- Technical information: request and error logs, browser or device information received with requests, and session cookies or local browser storage used for sign-in and interface preferences.
Information comes from dashboard users, guests and business contacts, connected service providers, and the operation of the application. Avoid including unnecessary sensitive information in messages or attachments.
2. How information is used and shared
The dashboard uses information to manage reservations and properties, coordinate accommodation and suppliers, communicate about bookings, reconcile business records, provide operational reports, troubleshoot problems, and protect access.
Authorized staff can access information needed for their work. Hosting and database providers, booking and property-management platforms such as Guesty, communication services such as Quo, email providers, and other vendors involved in an enabled workflow may process relevant information. AI-assisted workflows may send relevant reservation, message, or property information to AI service providers to prepare replies, interpret communications, or assist operational tasks.
Information may also be disclosed where required by law or reasonably necessary to investigate misuse, resolve disputes, or protect legal rights. Independent booking platforms, banks, and other services handle their own records under their own policies. Processing may occur in the United States or other locations used by service providers.
3. Plaid bank reporting
The Finance feature lets an authorized business account holder connect selected financial accounts through Plaid for income and expense reporting, categorization, reconciliation, and P&L views. Requested data includes account identifiers and descriptions, account type and masked account number, balances where available, and transaction dates, amounts, descriptions, merchants, and categories. The exact data available depends on the institution and the permissions presented during connection.
The connection flow explains the data requested and its purpose and records the authorized account holder’s affirmative permission and the notice version before opening Plaid Link. Bank connections can be disconnected and deletion requested in Finance. Reading this policy or signing into the dashboard is not consent to connect a bank account.
Bank authentication takes place in Plaid's or the financial institution's connection flow. The dashboard is not intended to receive or store bank-login passwords. This feature is for financial reporting, not initiating bank transfers, lending decisions, selling bank data, or targeted advertising.
Plaid's handling of information is described in its End User Privacy Policy. Where available, account holders can also manage connections through their bank or Plaid Portal. Disconnecting through another service does not by itself confirm deletion of copies previously held by an application.
4. Choices, consent, and privacy requests
You may contact Jamie Greene at jamie.greene736@gmail.com to request access to information about you, correction, a copy, deletion, or restriction of use, or to raise a privacy concern. If you have authorized an optional use of information, you may also request withdrawal of that permission. Available rights and exceptions depend on applicable law and the nature of the records.
Include enough information to identify the relevant account or booking and describe your request. Do not email bank passwords, verification codes, or full payment-card numbers. Identity or authority may need to be verified before information is disclosed or changed. Requests concerning another provider's own records may also need to be directed to that provider.
Finance records bank-connection consent and provides disconnect and bank-data deletion-request controls. An authorized owner can complete bank-data deletion after provider access has been revoked. General privacy requests for other application records use the contact channel above and require manual review. Acceptance of a rental agreement is separate from permission to connect financial accounts.
5. Retention and deletion
Existing rental, communication, and business records are retained for ongoing operations, booking support, reconciliation, and related legal or dispute needs. Reservation archives may remain after a listing is removed from a connected service. Signing out or removing a listing does not automatically erase related records.
Deletion requests are assessed against the purpose of the records, applicable obligations, and any need to preserve information for an active dispute or investigation. Copies held by independent service providers are subject to their own retention practices. Backup copies may remain until replaced or expired under the hosting provider's backup arrangements.
Finance requests up to 365 days of initial bank history, depending on bank availability. Bank transaction detail is retained for up to 24 months, with a daily rolling-expiry check while Finance is enabled. Consent and activity metadata are retained for up to 24 months. Disconnecting immediately stops future imports; the access token is removed once Plaid confirms revocation. Provider failures are shown as pending and retried. Previously imported history remains until rolling expiry or owner-confirmed deletion. Minimal connection and deletion markers remain to prevent accidental restoration. Hosting backups may retain copies until their configured expiry; outstanding deletion requests must be reapplied before restored Finance data is made available. Contact the privacy owner for review of backup handling, legal exceptions, or other records.
6. Security
The deployed dashboard uses encrypted HTTPS connections, role-based access, and password plus SMS verification for browser sign-in. Its hosting environment provides encryption at rest. Administrative accounts and automated integrations have separate access mechanisms. These measures reduce risk but cannot guarantee that information will never be lost or misused.
7. Cookies and intended users
The dashboard uses cookies and browser storage for authentication, security, and interface preferences. Blocking them may prevent sign-in or normal operation. The privacy page itself does not embed advertising trackers or analytics scripts.
This is a business operations service intended for adults and authorized staff. It is not designed for children to create accounts or connect financial accounts.
8. Changes and contact
Updates will be published at this URL with a revised date. The notice and any required permission flow must be updated before materially different collection or use begins, including new uses of bank data.
